Manage payslip definitions

Click on Company…Global payslip definitions…Manage Payslip Definitions.

This view contains the complete list of payslip definitions available in the system. All payslip definitions are pre-defined and only limited changes are allowed.

Main definitions

The main definitions are a complete set of definitions with pre-defined Tax, SDL, UIF, OID and RFI parameters. These parameters are set up according to legislation requirements.

The OID flags are the only parameters that may be changed by the user. The default settings are based on IRP5 codes. OID, however, specifically excludes certain remuneration based on its regularity. It is thus important that users review these parameters before printing the OID report. Changes are allowed to the descriptions of all definitions as well as the multipliers of certain definitions.

All main definitions can be copied to make additional definitions. Click on the icon to make a copy of the definition. Main definitions cannot be deleted.

Sub definitions

Sub definitions are always linked to a main definition. It is essentially a copy of the main definition, so the Tax, SDL, UIF, OID and RFI parameters will be the same.

Changes are allowed to the descriptions of all definitions as well as the multipliers of certain definitions. All sub definitions can be copied to make additional definitions. Click on the icon to make a copy of the definition.

Sub definitions that are not in use can be deleted. Click on the icon to delete the definition. If the icon is not visible on the definition, it means the definition is in use and cannot be deleted.

The default description of main and sub definitions will always be the same. Sub definitions are indented in the payslip definition grid.
In the image below, the Allowance main definition was copied four times.

Click on the green triangle to expand or collapse the rows. You can also click on the Expand All or Collapse All buttons to expand or collapse all the rows.

Fields in the manage payslip definitions grid

Field Description
Copy A copy icon is visible on definitions that can be copied. Click on the icon to create a new definition with the same parameters as the definition you are copying.
Delete A delete icon is visible on definitions that can be deleted. Only sub definitions can be deleted. It can however not be deleted if any transactions (values) have been entered against the definition.
Default Description This is the default description linked to a specific set of parameters. This description cannot be changed and will be the same for the main definition and all sub definitions linked to that main definition.
Description This description will display on the payslip view.
Report Print Description This description will print on all reports.
Payslip Print Description This description will print on all payslips.
Group on Payslips This stipulates how values must print on all payslips and is only available on main definitions. If this option is selected, then all transactions (values) entered against the main definition and any of its sub definitions will be added together. The Payslip Print Description of the main definition will be used and one consolidated value will print on the employees' payslips.
Favourite Flag the definitions that you use most as Favourite by clicking on the star. An item already flagged as Favourite will have a blue star. Favourite items are sorted at the top of the list to make navigation easier.
Multiplier Multipliers are default values which can be advised on certain definitions. Multipliers are used in calculations where units such as hours or kilometers can be entered.
An example is overtime, where you can stipulate whether overtime is calculated at 1.5 or 2 times the employee's rate per hour. Only one multiplier can be advised per payslip definition. Make the required number of copies to cater for the number of different multipliers used in the company for a specific definition.
Effective From This date indicates when a specific definition is applicable from. The definition will not be visible in tax years before this date, even if it is linked to a template.

IRP5 Code This is the IRP5 code the specific definition is linked to. Always ensure that transactions are captured on a definition with the correct IRP5 code for the payment you are making.
IRP5 Code Description This is the description of the IRP5 code as it will print on the tax certificate.
Taxability The taxability is defined as Normal – taxable per pay period, or Periodic – annual payments that are added after annualisation of normal taxable remuneration, or Not taxable – not taxed.
Taxable % This indicates the taxable portion of values entered on this definition, e.g. only 80% of Travel Allowance is added to calculate balance of remuneration.
Directive Mandatory If the check box is checked, then SARS requires a directive when making the payment.
OID Included If the check box is checked, then any values processed on this definition will be included in the calculation of Compensation for Occupational Injuries and Diseases (OID). The OID flags are pre-defined, but can be changed by the user should a specific item be included or excluded from OID. To reset all flags to the system defaults, click on the Reset OID Flags button. You have the option to reset on the main definitions, or all the definitions to the default flags.
UIF Included If the definition has a tick, then any values processed on this definition will be included in the calculation of Unemployment Insurance Fund (UIF).
UIF Use Tax % This indicates whether the taxable portion of the value or the value will be included in the calculation.
SDL Included If the definition has a tick, then any values processed on this definition will be included in the calculation of Skills Development Levy (SDL).
SDL Use Tax % This indicates whether the taxable portion of the value or the value will be included in the calculation.
RFIable Included If the definition has a tick, then any values processed on this definition will be included in the calculation of Retirement Funding Income (RFI).
RFIable Use Tax % This indicates whether the taxable portion of the value or the value will be included in the calculation.
ETI Included If the definition has a tick, then any values processed on this definition will be included in the calculation of Employment Tax Incentive (ETI).
ETI use taxable value If this definition has a tick, then the taxable portion of the value processed on this definition will be included.

Sort data by clicking in the column heading. This is only available on certain columns.

Confirmation modal of new payslip definitions

When a new Global Payslip Definition has been successfully copied from the Main Definition, a new popup/modal will be displayed. From here select to add this new Payslip Definition to one or more of the existing Payslip Templates.

There is also an option to not add the new Payslip Definition to existing Payslip Templates and add them manually on the Payslip Template tab.
